Module 06 · Enterprise CRM & Ecosystem

Keep Zoho, HubSpot or Salesforce on day one. ClinicSuite syncs both ways in sub-second time.

No big-bang migration and no brittle zaps. ClinicSuite connects to the CRM your coordinators already live in and keeps every deal, stage and task in step with what actually happened — the call, the proposal, the deposit, the flight.

  • Native two-way adapters — stages, values, owners and tasks update in under 800 ms
  • Every event signed with HMAC-SHA256, idempotent and retried for 72 hours
  • Coordinators stay in their CRM while ClinicSuite runs calls, proposals and logistics underneath

Inside the sync engine

Your CRM stays. Four engines keep it truthful.

Native adapters, signed webhooks, a visual mapper and a coexistence model — so the CRM always reflects what really happened in the clinic.

    Zero Big-Bang Migration & Coexistence

Your coordinators keep working in the CRM they know. ClinicSuite powers VoIP, visual proposals and logistics in the background, writing every outcome back to the deal — so you can adopt module by module, at your own pace.

    • No cutover weekend, no retraining for the sales team
    • Call summaries, proposals and itineraries deep-linked on each record
    • Migrate fully later — or never, if the CRM works for you

Brittle Zapier/Make webhooks & CSV imports vs. ClinicSuite Native Enterprise Sync

The same patients, deals and payments — kept in sync two very different ways.

  • Sync direction

Brittle Zapier or Make webhooks and CSV imports: One-way zaps that push leads in and never read changes back

    ClinicSuite Native Sync Engine

ClinicSuite: Native two-way sync — CRM edits flow back to ClinicSuite in under a second

  • Latency

Brittle Zapier or Make webhooks and CSV imports: Polling every 5–15 minutes, nightly CSV imports for the rest

    ClinicSuite Native Sync Engine

ClinicSuite: Event-driven updates in under 800 ms, end to end

  • Duplicates & conflicts

Brittle Zapier or Make webhooks and CSV imports: Same patient created twice, last write silently wins

    ClinicSuite Native Sync Engine

ClinicSuite: Dedupe by phone, email and CRM ID with field-level merge rules

  • Security

Brittle Zapier or Make webhooks and CSV imports: Unsigned webhook URLs and API keys pasted into third-party tools

    ClinicSuite Native Sync Engine

ClinicSuite: HMAC-SHA256 signed payloads, rotating secrets, OAuth tokens in a KMS

  • Failure handling

Brittle Zapier or Make webhooks and CSV imports: A failed zap emails someone, the deal stage never moves

    ClinicSuite Native Sync Engine

ClinicSuite: Idempotent retries with 72-hour exponential backoff and one-click replay

  • Field & stage mapping

Brittle Zapier or Make webhooks and CSV imports: Hard-coded per zap, breaks when a custom field is renamed

    ClinicSuite Native Sync Engine

ClinicSuite: Visual mapper for stages, custom fields and Zoho custom modules

  • Clinical context

Brittle Zapier or Make webhooks and CSV imports: Generic contact fields, no proposals, deposits or flights

    ClinicSuite Native Sync Engine

ClinicSuite: Proposals, deposits, itineraries and call summaries as first-class objects

  • Audit & compliance

Brittle Zapier or Make webhooks and CSV imports: Task history scattered across Zapier, Make and inboxes

    ClinicSuite Native Sync Engine

ClinicSuite: Every sync logged per record, GDPR erasure propagated to the CRM

CRM & Integrations FAQ

What RevOps and IT ask before connecting their CRM

Zoho custom modules, coordinator workflows, webhook signatures, Zapier replacement, multi-org setups and encryption — answered. Anything else, we'll walk through it against your own CRM sandbox.

Yes. The Zoho adapter reads your org's metadata over the Zoho CRM v6 API, so custom modules such as Treatments, Patients or Travel Plans, custom fields, picklists, lookups and subforms all appear in the field mapper next to ClinicSuite's own fields. You choose the direction per field — ClinicSuite to Zoho, Zoho to ClinicSuite or both — and stage mappings follow the Blueprint or pipeline you already run. New custom fields added in Zoho show up in the mapper automatically and stay unmapped until you switch them on.

Yes — that's the coexistence model. Coordinators stay in Zoho, HubSpot or Salesforce, where deal stages, values, notes and tasks update within a second as ClinicSuite events happen: an AI call summary, a proposal opened, a deposit cleared, a flight delayed. Each record also carries deep links to the call recording, the visual proposal and the patient itinerary. When a coordinator moves a stage or edits a field in the CRM, the change flows back to ClinicSuite, so automations and logistics keep running on the latest data.

Every webhook is sent over TLS 1.2+ and signed with HMAC-SHA256 using a per-endpoint secret. The X-ClinicSuite-Signature header contains a timestamp and the signature of the timestamp plus the raw request body, so your endpoint recomputes the HMAC with the shared secret, compares it in constant time and rejects anything older than five minutes to block replays. Each event also carries an idempotency key, so retries never create duplicates. Secrets can be rotated with a dual-signing window, and failed deliveries are retried with exponential backoff for 72 hours and can be replayed from the console.

For CRM sync, yes. Most clinics use Zapier or Make to push form leads into the CRM, copy payment status back and patch the gaps with CSV imports. ClinicSuite's native adapters replace those zaps with a two-way sync that understands patients, proposals, deposits and itineraries, deduplicates by phone, email and CRM ID, and resolves conflicts by field-level rules rather than last-write-wins. During onboarding we inventory your existing zaps and scenarios, map each one to a native sync rule or signed webhook, and switch them off one at a time once the replacement has been verified side by side.

Yes. Each branch, brand or agency partner can connect its own CRM org, sandbox or HubSpot portal, with its own field mappings, pipelines and owners. Leads are routed to the right org by branch, treatment, country or campaign, and patient records are deduplicated across orgs so the same patient never appears twice in group reporting. You can also run a single group-level CRM with branch fields and territory rules — the adapter supports both models, and you can migrate from one to the other without downtime.

Data is encrypted in transit with TLS 1.2+ and at rest with AES-256, and CRM OAuth tokens and webhook secrets are stored in a dedicated key management service. You decide field by field which health data leaves ClinicSuite — many clinics sync commercial fields such as stage, value and owner to the CRM while clinical notes and images stay in ClinicSuite behind a deep link. We sign GDPR data processing agreements, support KVKK requirements and offer HIPAA business associate agreements, with EU data residency, full audit logs of every sync and propagation of erasure requests to connected CRMs.
